Optima knows who should be on shift. We tell it who actually turned up.
ClockedInOne integrates directly with RLDatix Optima, the rostering platform used across the UK including within NHS Trusts. Verified biometric attendance flows into Optima through our AirStack middleware: no manual exports, no spreadsheets, no re-keying.
Palm vein & fingerprint biometrics · OnTime mobile app · near real-time sync
Optima holds the roster, but the hours worked arrive separately, exported, emailed, re-keyed, and always a step behind. Ward managers reconcile two versions of the same shift by hand, bank and agency cover gets paid from memory, and by the time a discrepancy is spotted the pay run has closed.
Staff clock in on a biometric terminal or the OnTime mobile app. AirStack validates each event and delivers it straight into Optima, so the roster and the actual worked hours sit in one place, in near real time, with an audit trail behind every entry.
When attendance flows into Optima, everyone downstream benefits
From the ward manager checking cover to the payroll team closing the run.
Accurate time capture
Staff clock in and out on secure biometric terminals. No missed punches, no shared PINs, no one clocking a colleague in from the car park.
Real-time sync
AirStack middleware sends verified data directly to RLDatix Optima with minimal delay, so what the ward sees is what actually happened.
Contactless biometrics
Palm vein recognition is hygienic, fast and non-invasive, built for clinical environments where infection control is not negotiable.
Mobile flexibility
The OnTime app lets community and peripatetic staff clock in on the move, with location data and role verification attached to the punch.
Built for scale
From a single site to a nationwide deployment across multiple Trusts, the same capture engine, the same integration, the same support team.
A supported partnership
We work alongside RLDatix and the provider on every rollout, from initial configuration through to long-term support.
The data bridgeAirStack is the part you never have to think about
It connects every ClockedInOne device: terminals, fobs and mobile, and delivers clean, validated data straight into RLDatix Optima.
Offline support
Stores events locally when connectivity drops and syncs automatically the moment it returns. A network outage never costs you a shift's worth of data.
Low maintenance
No manual exports and no spreadsheet stage. Once it is configured it runs without a person in the loop.
Live diagnostics
Device status, sync health and last-seen times for every terminal on one dashboard, so a failed unit is noticed before payroll is.
Validated, not just forwarded
Duplicate punches, impossible durations and missing clock-outs are caught at the bridge rather than landing in Optima as bad data.
Contactless, hygienic, and it stores a number, not a hand
Our terminals support palm vein and fingerprint recognition, so staff are verified as physically on site when they clock. Palm vein needs no contact with the reader, which matters in a clinical setting.
- No shared surface to clean between users
- Works where fingerprints fail: gloved, wet or heavily worn hands
- An encrypted numeric template is stored, never an image of the vein pattern
- The template cannot be reversed into a palm or reused by another system

Staff access
Welcome Priya Nair
Away from a fixed pointThe OnTime app covers everyone a terminal cannot
Community nurses, peripatetic staff and multi-site cover clock in from a phone, with location and role verification attached to the punch.
Mobile events run through exactly the same AirStack validation as terminal events, so Optima receives one consistent stream rather than two systems to reconcile.
Rollouts are run, not shipped
We work with RLDatix and your own team through configuration, deployment and long-term support, whether you are replacing a legacy system or opening a new site.
RLDatix Optima integration, common questions
Does ClockedInOne integrate with RLDatix Optima?
Yes. ClockedInOne integrates directly with RLDatix Optima using our AirStack middleware. Verified clock-in and clock-out events captured on biometric terminals or the OnTime mobile app are validated and delivered into Optima in near real time, without manual exports or spreadsheet uploads.
What is AirStack?
AirStack is the middleware layer that connects ClockedInOne capture devices, biometric terminals, fobs and mobile apps, to RLDatix Optima. It validates each attendance event, buffers data during connectivity loss, syncs automatically when the connection returns, and reports live device diagnostics from a single dashboard.
Is palm vein biometric data safe to use in a healthcare setting?
Palm vein recognition is contactless, so there is no shared surface to clean between users, which suits clinical and infection-control environments. What is stored is an encrypted numeric template rather than an image of the vein pattern, and the template cannot be reversed into a palm or used with another system.
Can staff clock in without a fixed terminal?
Yes. The OnTime mobile app allows staff to clock in and out on the move with location data and role verification attached, which suits community teams, peripatetic staff and multi-site cover. Mobile punches feed the same AirStack pipeline as terminal punches.
Do you support NHS Trusts?
RLDatix Optima is used across the UK including within NHS Trusts, and our integration is designed for that setting: contactless capture, offline resilience, an audit trail behind every event, and a rollout process run alongside RLDatix and the provider's own team.
What happens if the network goes down?
AirStack stores attendance events locally on the device and at the bridge, then syncs them automatically once connectivity returns. Clocking continues as normal during an outage and no events are lost.
