The problem

A rota built in a spreadsheet only knows what the person building it remembers. Expiring training, who is eligible for which duty and who asked for which day off all live in someone's head, and the first sign of a gap is usually the handover.

What is eRostering?

eRostering, also written e-rostering, is electronic rostering: planning staff shifts in software that applies your rules as the rota is built, rather than in a spreadsheet or on paper. A good eRostering system also records leave, links planned shifts to the hours actually worked and passes approved hours to payroll.

Do care homes and GP practices have to meet the NHS e-rostering standards?

No. The levels of attainment and meaningful use standards, published by NHS Improvement in June 2019, are written for NHS trusts. They are not a legal duty for care homes or GP practices, but they are a sound benchmark for what good rostering looks like at any size.

How is eRostering different from a spreadsheet rota?

A spreadsheet only holds what someone typed into it. eRostering checks eligibility and certification as shifts are assigned, flags open shifts before publication, lets staff request leave and swaps from their phone, and links the rota to attendance and payroll so the hours paid match the hours worked.
